Before you go

All professional domestic and international travel must be approved using Concur Request ²ú±ð´Ú´Ç°ù±ðÌýbooking a trip. Concur Request replaces the hardcopy professional travel form and is used as a means of reporting your plan for covering your classes and other professional obligations in your absence; as such, a Concur Request must be submitted for all professional travel, regardless of whether the trip is being funded by Ãå±±½ûµØ or an outside entity. Ìý

  • Airfare purchased out-of-pocket outside of Concur is not reimbursable. Ìý
  • Pre-approval is required if driving instead of flying. Driving instead of flying is only acceptable if:
    • It is necessary to transport fragile or oversized equipment related to the business purpose, including but not limited to instrument(s), sound equipment, etc. Ìý
    • It is necessary to transport multiple travelers, making vehicle travel the most economical option.
    • It can be demonstrated that driving instead of flying is more economical. Ìý
      • In addition to pre-approval, this option also requires a comparison quote from Concur, which should be attached to the Concur travel request. Ìý
      • The traveler will be reimbursed for actual mileage up to the actual total flight cost (transportation to/from DIA, airfareÌýand destination ground transportation).
      • Gasoline purchased for use in a personal vehicle is not reimbursable under any circumstance. Mileage reimbursement is intended to cover the cost of gasoline, and wear and tear. View theÌý Ìý

University employees traveling abroad on university-sponsored international travel are eligible for coverage through an international insurance policy. This policy is paired with 24/7 travel assistance services provided by International SOS.

International SOS provides medical, security and logistical expertise to help safeguard our international travelers. For example, if you lose your medication in Prague, need to see a doctor in New Delhi, get pickpocketed in Rio or, in a more serious circumstance, are in a serious accident, you should immediately contact International SOS.

  • Ground transportation (Uber, Lyft, shuttles, taxis, buses, etc.)
  • Conference registration fees

Whether using a personal card or a corporate card, travelers must remember to keep itemized receipts of all purchases.ÌýReceipts must be provided upon return to submit with their expense report—this is not an exhaustive list.

  • The College of Music does not offer reimbursements to faculty or staff for airfare purchased outside of Concur.

Can I use Concur for personal travel bookings?Ìý

  • You may use Concur to reserve hotels and rental cars for personal travel.
  • You may not use Concur to reserve flights for personal travel, as airfare is billed directly to the university. Ìý
